Level C, Evaluated cloud services
The service is created and maintained by a third party. As a rule, no support is provided for the use of the service.
Any material or discussions intended for Aalto University members only shall not be processed using C level services.
Keep in mind that public cloud services often disclose information to third parties, and may also claim ownership of the information or change licence terms and conditions without informing its users of the changes.
If the service use involves:
(1) processing of personal data, (2) processing of secret material, (3) processing of bank details, (4) administration requirements, (5) requirements for 24/7 usability, (6) licences, (7) costs, (8) a large number of users, (9) several units
always contact the account managers.
Google Docs, Google Sheets, and Google Slides are a word processor, a spreadsheet and a slideshow presentation program respectively, all part of a free, web-based software office suite offered by Google within its Google Drive service. The three apps are available as web applications, and as mobile apps for Android and iOS. The apps are compatible with Microsoft Office and OpenDocument file formats. The suite also consists of Google Forms (survey software), Google Drawings (diagramming software) and Google Fusion Tables (database manager; experimental).
The suite allows users to create and edit files online while collaborating with other users in real-time. Edits are tracked by user with a revision history presenting changes. An editor's position is highlighted with an editor-specific color and cursor. A permissions system regulates what users can do. Updates have introduced features using machine learning, including "Explore", offering search results based on the contents of a document, answers based on natural language questions in a spreadsheet, and dynamic design suggestions based on contents of a slideshow, and "Action items", allowing users to assign tasks to other users.
While Google Docs has been criticized for lacking the functionality of Microsoft Office, it has received praise for its simplicity, ease of collaboration and frequent product updates. Google has been criticized for its practice of automatically scanning documents for keywords that violate the terms of service, and censoring those documents.
Terms of Service
Registration asks to input first name, last name, birthday and gender in addition to creating the username and password.
+The users retains ownership of any intellectual property rights to uploaded content.
+Notices of changes are posted by at least 14 days in advance.
+If a service is discontinued, “reasonable advance notice and a chance to get information out of that Service”.
-Google receives a license to use all uploaded content in current and future services. This license continues even if you stop using the service.
-Google collects vast amounts of information of the users.
-Google tracks users on other websites.
-Google can share personal information with the consent of the user. Google can also share or publish aggregated data that does not identify a person.
-Google may stop providing services at any time.
Use requires a Google account. In Aalto you need register as a Aalto-Google user.
