Scheduling requests for NEW courses and exams are to be submitted to lukkari-elec@aalto.fi

By February 27.2.2019 Course time table draft 1 based on academic year 2018-2019 reservations is sent to departmental coordinators (done by Tuula, Mika & Antti) (only FYI)

By March 25, 2019 Course time table draft 1 will be most likely submitted to departmental coordinators and perhaps to teachers using new VIVO system.

DEADLINE! By April 5, 2019 Course schedule changes and corrections are to be submitted using VIVO-system or via e-mail to lukkari-elec@aalto.fi  (done by departmental coordinators/teachers)

By May 17, 2019 Course and exam time tables are finished
Course and exam information will be transferred from Asio to WebOodi

Required information about the courses and exams

Courses

  • name and course code
  • teaching periods (start and end dates, if the course doesn't start on the first week of the teaching period or end on the last week of the teaching period)
  • day of the week, time
  • teacher in charge, other staff of the course
  • estimated number of students for lectures and exercise groups
  • optimal classroom(s) for lectures and exercise groups
  • other requirements, for example "small exercise classroom with movable desks", "Smartboard", "blackboard"

Details about each classroom (the number of seats, equipment) can be found in Asio (booking.aalto.fi). Anyone with an Aalto user acount can view the classroom and booking information in Asio.

Classrooms are subjects to a charge (except Simulointilaboratorio): yhteiskäyttöiset veloitettavat opetustilat (Inside). In ELEC the school will pay the charges for the bachelor level courses and exams and the departments will pay the charges for the master's and doctoral level courses and exams. The school will also pay the charges for all make up exams.

Correct end date for the course for the course feedback system

The course feedback system in Webropol automatically publishes the course feedback forms based on the end date of the course in WebOodi (and WebOodi gets this information from Asio). Therefore it's important that the end date is the actual end date, not just last date when there's classroom booked for the course, so that the feedback form is not published and closed too early (for example in February, if the lectures end then, when the course ends in May after the students have submitted essays.)

If a course doesn't need a classroom for the whole study period (for example, first 6 lectures in a classroom, private study for another 6 weeks after that), please give this information, so we can avoid booking classrooms when they are not needed.

Teacher in charge and other staff of the course

All staff members who are added as teachers of the course in Asio will automatically get the access to update the course information in WebOodi and MyCourses.

All teachers who are added as Vastuuopettaja or Luennoitsija will get the access to edit the course feedback form in the new course feedback system in Webropol and will also automatically receive the feedback by e-mail.

Online courses and courses in classroom that can't be booked in Asio (departments' own class and conference rooms)

This type of courses can be scheduled in Asio too. The classroom in Asio will be a virtual classroom and the time will be on Sundays at 23.00. If the courses are scheduled in Asio, the departmental coordinators or teachers don't have to manually add the study events in WebOodi in order to make the WebOodi course registration possible for these courses.

The teachers can later edit the course information in WebOodi and MyCourses.

Exams

  • date and time (or only the teaching period, if the exam is a make up exam).
  • teacher in charge, other staff of the course
  • estimated number of students
  • optimal classroom
  • other requirements, for example "at the same time in the same classroom with exams ELEC-xxxx, ELEC-xxxx..." or "NOT at the same time with exams ELEC-xxxx, ELEC-xxxx...

Course and exam registration in WebOodi

Course and exam registration times for the students in WebOodi

Courses

  • Registration for courses shall start no later than 28 days before the start of the teaching period and close 7 days after the start of the period. On courses with limited student places or practical reasons for closing registration earlier (e.g. creating logins for virtual learning environments), the registration shall close 7 days before the start of the teaching period. Any exceptional registration times are specified in the course description or, at the latest, in the course details in the university information systems. Notifying students of exceptional registration dates is the responsibility of the teaching unit and course teacher.

Exams

  • Registration to course is also registration to Course Exam (KT). In ELEC we don't add retake exam (registrations) at same time when there is a course examination.
  • Registration for all retake examinations shall open no later than 60 days before the examination dates. Notifying students of exceptional registration times for examinations is the responsibility of the teacher in charge of the course and the unit responsible for the teaching.
  • Registration for all retake examinations shall close 7 days before the examination dates.
